Cold Chain Validation¶
Solarbio cold chain shipping has been validated for:
- 2–8°C shipments: Maintain refrigerated temperature for 48 h ambient exposure using 0.9 kg phase-change gel packs per shipper
- −20°C shipments: Maintain frozen temperature for 36 h ambient exposure using 1.5 kg frozen gel packs per shipper
- −78.5°C (dry ice): Maintain below −50°C for 72 h using 5 kg dry ice and EPS cryo-shipper
- −196°C (LN₂ vapor): Maintain below −150°C for 10–14 days in validated LN₂ dry shipper
All validation: Temperature data loggers placed in three positions (top, middle, bottom) per test shipment, ≥3 replicate tests per shipper type.
Temperature Excursion Handling SOP¶
If a temperature excursion is suspected or confirmed upon receipt, follow these steps:
Step 1: Immediate Assessment¶

- Photographs of: outer packaging, temperature indicator(s), product vials/kits, shipping label
- Temperature logger data file (if available)
- Date and time of receipt
Step 3: Temporary Storage¶

All excursions are logged in the Solarbio CAPA system. Root cause analysis is performed quarterly to identify shipping lane and seasonal trends.
LN₂ Shipping for Cryopreserved Products¶
Solarbio LN₂ dry shippers are used for transport of cryopreserved competent cells, cell lines, and other −196°C-sensitive products.

LN₂ Shipping Procedure¶
- Charging: Fill shipper with LN₂ 24 h before use; allow to equilibrate; top off immediately before packing.
- Sample loading: Place cryovials in inventory cassettes; immerse in LN₂ for at least 10 min before transfer; transfer in less than 30 s per cassette.
- Packaging: Place charged shipper in UN-certified overpack with absorbent material (vermiculite or equivalent).
- Documentation: Shipper's Declaration for Dangerous Goods (UN 1977, LN₂, Class 2.2). Note: Non-hazardous if absorbent material prevents free liquid — confirm with carrier.
- Carrier notification: Advance notice required for dry shipper shipments; FedEx/DHL dangerous goods acceptance required.
- Recipient instructions: Open shipper immediately upon receipt; transfer samples to liquid-phase LN₂ or −80°C freezer within 1 h.

Insurance Claim Process for Damaged Shipments¶
Coverage¶
All Solarbio international shipments are insured for the full invoice value under marine cargo insurance (Institute Cargo Clauses A). Domestic shipments within China are covered by carrier liability up to RMB 2,000 per package.

Document damage immediately: Photograph all damage (outer packaging, inner packaging, product) before signing delivery receipt. Note "DAMAGED — SUBJECT TO INSPECTION" on carrier delivery record.
